If the tenant does not pay their rent, you do not pay our management fee. We are only paid when you are.

If you can find a lower management fee offered by other firm in writing we will match it. As long as the other firm does not charge other fees in addition to base management fee percentage.

If a tenant stops rent payment for any reason, we offer you the “Rent Loss Guarantee” package to cover up to 3 months of rent.

EVICTION PROTECTION GUARANTEE:

If we have to evict a tenant we placed in your property earlier, we will file the paper work for you at the small claims court and present before the judge on your behalf without charging you.

If you are not satisfied with our service, you can cancel our agreement at any time with a written 60-day notice.

RESPONSE TIME GUARANTEE:

If you call or email us, we will respond within 1 business day, or we will buy you lunch.

PROMPT DISBURSEMENT GUARANTEE:

If we do not wire or mail your monthly proceeds to you within 10 business days of receipt of rent unless we have a valid reason to hold your proceeds temporarily, we will waive that month’s management fee.

A majority of our past and current tenants are professionals that have moved into the area due to job changes to the RTP area. Our experience with this tenant pool has been primarily positive with most leases running their entire duration without any troubles. By matching the right tenant to the right home, we create a lasting relationship that is beneficial to all parties.

Screening A Tenant
Phoenix uses an online application to obtain data to screen potential tenants. We review their credit history, employment history, rental history, references, and then use this data in our unique financial stress score model developed through more than 35 years of experience. Our experience provides owners/investors with the best tenant screening profile in the region. Property management is our primary endeavor not a secondary income between property sales. We further conduct a thorough nationwide search of criminal and eviction records. Once we have developed a complete tenant profile, we inform the owner of our approval of a qualified tenant.

Approving A Tenant
If an applicant is approved, the next step is to write the lease, which is accompanied by the Phoenix Maintenance Addendum detailing proper care and use of the rental home during the tenant’s stay. Leases are prepared and executed based on NC Real Estate Commission guidelines and rules.

Not A Science.
Valuating a rental home is not always as simple as pricing a home comparably to other similar rentals in the area. Being competitive in the rental market is also not as simple as just pricing your home lower than others on the market. The key is offering the best value, which does not always mean the lowest priced rental. In our experiences, renters have and will accept a higher monthly rent for the additional value of services that Phoenix provides and for the quality elements in a Phoenix represented home. It should also be noted that, by providing a properly priced quality product, we also attract quality tenants in the process.

In order to provide the highest return on investment, our goal is to price your home at the optimal price point the market can bearwith the highest quality tenant we can acquire in a timely manner.

Pricing Criteria
Pricing your rental home primarily depends on a number of elements 1) availability 2) supply 3) condition 4) location 5) unique attributes – in that order of importance. We take all elements into consideration and work together with you to find an ideal price.

Availability
We have found that the date of availability of the house is quite important to most renters. The reason is simple: most tenants are moving because they have to. For example, their lease is ending some time soon therefore, they MUST move on or before their lease end date. There is usually little room for flexibility.

Supply
The supply of rental homes in any given area affects pricing. However, pricing a rental lower than the competition is not always the best way of attracting a good tenant. The key is providing value for the rental price which can be affected by the other elements listed here as well as the quality of the services that the project management company can provide, such as prompt last minute showings.

Condition
Renters love nice homes. They like “good” looking ones – first impressions (appearance of the home) are everything. So keeping the house clean and fresh, having nice kitchen cabinets, shampooed carpets, a new stove or refrigerator, ceiling fans, a well maintained lawn, and other cosmetic things go a long way.

Location
Location is surprisingly less important to renters than to buyers. When most potential tenants contact us about a house, they have already looked at the area and have generally “accepted” it. Therefore, the features inside of a house are far more important than the outside area. That being said, never underestimate the impact of the surrounding area.

Unique Attributes
Lastly, unique attributes can sometimes secure a tenant for the house. Every potential tenant has a list of “must haves.” They can be generic requirements or more specific ones like a large backyard for a pet or an attached office area. Any unique attribute of your home can make it more appealing to a specific set of renters.

No Mandatory Visits
We no longer require a visit to each property as we have in the past. The sheer volume of information available today from our inventory, local MLS, City records, Real Estate websites, and Google maps enables us to do a lot of the leg work from our office. We do come to your home before we list it to inspect, take our own measurements, pictures, and to prepare the home for rental.

A large portion of our tenants find us through referrals from long-time relationships developed with local real estate agents, insurance agents, contractors, and merchants. Aside from referrals, our rental inquiries come through many online and print advertising channels. Part of your initial setup fee goes towards advertising your home through these multiple channels – including our local MLS service to Craigslist postings.

Caring For Your Investment.

Managing a property once the tenant has moved in entails two broad areas: ensuring that the tenant is taking good care of the home, and performing timely & preventive repairs with full documentation.

Periodic Inspections

Periodic inspections and frequent random drive-by inspections will be conducted. Tenant care of the property will be assessed and repairs and maintenance will be conducted. We will advise property owners of required repairs and/or improvements as necessary.

Move-In/Move-Out Inspections

When a new tenant moves in, we conduct a move-in inspection to document the state of the property and take pictures for our records. The same procedure is repeated at move-out, and are compared to the move-in inspection records to ensure that the tenant has left the property is in as good as – if not better – condition than it was in when they moved in.

24 Hour In-House Service

We offer 24 hour service to our tenants in the case of maintenance emergencies. For any non-emergency maintenance issue, we have tenants submit an online maintenance request for documentation. Our own in-house maintenance team that can often diagnose and address any typical problems that arise. Preferred contractors are used for repairs that require expert attention. Homes will always be in need of maintenance or repair at some point of time, even rental homes. Besides having a reliable tenant, Phoenix institutes specific measures to ensure that all those issues are resolved in the most cost efficient and timely manner. We care for your home as if it were our personal property and we have the skills in-house to do it right.

Prevention and Improvement 

  • Inspections — Inspections (both in-home or drive-by) will be conducted in a frequent manner to ensure the tenants are taking proper care of the property. Additional inspections can be requested by the landlord.
  • Repair and Inspect — Every repair is an additional inspection of the property by our repair team.
  • Advice on Improvements — Improvements that might add value to the home will be presented to the landlord when appropriate. New carpets or flooring is a common example of this.

Communication and Documentation

  • Maintenance Request Forms — Online forms are used to document and keep track of repair jobs efficiently.
  • Photographs — Photos are used to document all repairs and maintenance calls. All contracted work is also documented through digital photos for our records.
  • Updating Owners — Owners are kept up to date about minor repairs or discussing and approving of any major repair jobs will be conducted quickly.
  • Approval and Supervision — All work is approved and conducted by experienced office staff and supervisors.
  • Multiple Ways of Communication — Communicating with us through multiple methods including phone, mail, and internet chat services.

Minimizing Cost and Maximizing Quality

  • Market Discounts — Discounts are expected from our long-standing relationship with contractors and repairmen who have a keen eye on market prices of supplies.
  • Insurance Claims — All claims can be initiated and handled by Phoenix and we can even work with home warranty companies as well.
  • Preferred Contractors — Contractors that we have worked with extensively and trust are used to do repair work beyond the scope of our in-house options. They provide quality work at a reasonable rate for us particularly with HVAC and plumbing.
  • Handyman vs Contractor — We determine who is necessary to get the job done for every repair job. To minimize costs most typical problems can be handled by our in-house handyman services.

We use industry standard Property Management & Financial software to keep track of each account by owner, units, tenants, lease terms, and the rental cycle process from contract to move-in to move-out. Using this data, we are able to offer our owners an online account where they can log-in at any time to see a detailed statement of all funds relating to their property.
